How to retain marketplace statements and audit evidence
Preserve the original finalized statement or report in a restricted location, plus a redacted working copy for analysis. Keep the applicable contract or rate card, store and payout identifiers, calculation workbook or machine-readable result, matching bank evidence, support case, and final resolution. Record who produced the file and when.
Do not overwrite raw exports with cleaned versions. Use a retention period approved by the restaurant’s accountant, counsel, and privacy policy. Access should be limited by role, and shared files should exclude credentials, full bank details, tax IDs, and unnecessary guest information.
